Terms of Service

Last updated: 1 January 2025

Please read these terms carefully before using TradePilot. By creating an account or using the platform you agree to be bound by these terms.

1. About TradePilot

TradePilot is a field service management platform operated by TradePilot Ltd, a company registered in England and Wales. The platform provides job management, invoicing, team coordination, and compliance tools for UK trade businesses. These Terms of Service govern your access to and use of the TradePilot website, mobile applications, and associated services (collectively, the “Service”).

2. Eligibility

You must be at least 18 years old and have the legal authority to enter into a binding agreement on behalf of yourself or your business. By using TradePilot you represent and warrant that you meet these requirements. The Service is intended for use by businesses operating in the United Kingdom.

3. Accounts & Registration

You are responsible for maintaining the confidentiality of your account credentials and for all activity that occurs under your account. You must notify us immediately at [email protected] if you become aware of any unauthorised use of your account. You may not share your login credentials with any third party or allow multiple individuals to use a single account concession.

4. Subscription & Payment

TradePilot is offered on a monthly subscription basis. Your subscription begins after the expiry of any applicable free trial period. Subscription fees are billed in advance on a monthly basis and are non-refundable except where required by applicable law.

We reserve the right to change subscription fees on thirty (30) days’ written notice. Your continued use of the Service after a price change takes effect constitutes your agreement to pay the revised fee.

If payment fails, we may suspend access to your account until payment is received. We will make reasonable efforts to notify you of any payment failure before suspension.

5. Free Trial

Where we offer a free trial, you will have access to full platform features for the duration of the trial period. At the end of the trial, a subscription is required to continue using the Service. We reserve the right to modify or end free trial offers at any time.

6. Cancellation

You may cancel your subscription at any time via your account settings. Cancellation takes effect at the end of your current billing period. You will retain full access to the Service until the cancellation date. We do not offer pro-rata refunds for partial months. Upon cancellation, you may export your data for 30 days before it is permanently deleted.

7. Acceptable Use

You agree not to use the Service to:

  • Violate any applicable UK law or regulation, including the Computer Misuse Act 1990 and the UK GDPR
  • Upload or transmit any content that is unlawful, fraudulent, defamatory, or infringes third-party intellectual property rights
  • Attempt to gain unauthorised access to any part of the Service or its infrastructure
  • Reverse engineer, decompile, or disassemble any component of the platform
  • Use the Service to send unsolicited commercial communications
  • Resell, sublicense, or white-label the Service without our prior written consent

8. Your Data

You retain ownership of all data you input into the Service, including customer records, job data, and financial information. You grant TradePilot a limited licence to store and process your data solely for the purpose of providing the Service. Our collection and use of personal data is governed by our Privacy Policy, which forms part of these Terms.

9. Intellectual Property

The TradePilot platform, including all software, designs, trademarks, and content, is owned by or licensed to TradePilot Ltd and is protected by intellectual property laws. Nothing in these Terms grants you any ownership right in the Service.

10. Availability & Maintenance

We aim to maintain a high level of platform availability but do not guarantee uninterrupted access. Scheduled maintenance will be communicated in advance where possible. We are not liable for any loss arising from temporary unavailability.

11. Third-Party Integrations

The Service may integrate with third-party services including Xero, QuickBooks, Stripe, and SumUp. Your use of those services is governed by their respective terms and conditions. TradePilot is not responsible for the conduct or availability of any third-party service.

12. Limitation of Liability

To the maximum extent permitted by English law, TradePilot Ltd shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including loss of profits, revenue, or business opportunities, arising out of or in connection with these Terms or the Service.

Our total liability to you in any twelve-month period shall not exceed the total subscription fees paid by you during that period.

13. Indemnity

You agree to indemnify and hold TradePilot Ltd, its directors, employees, and agents harmless from any claims, losses, or expenses (including reasonable legal fees) arising from your use of the Service, your violation of these Terms, or your infringement of any third-party rights.

14. Modifications to the Service

We reserve the right to modify, suspend, or discontinue any part of the Service at any time. We will provide reasonable notice where a material change significantly affects your use of the platform. Your continued use after notice of a change constitutes acceptance.

15. Modifications to These Terms

We may update these Terms from time to time. When we make material changes, we will notify you by email or by displaying a notice within the platform at least 14 days before the changes take effect. The current version of these Terms is always available at tradesmanexperts.uk/terms.

16. Governing Law & Disputes

These Terms are governed by the laws of England and Wales. Any dispute arising out of or in connection with these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales. If you are a consumer, you retain the right to bring proceedings in the courts of your country of residence.
